DealHQ helps creators organise and manage brand collaborations by turning information from connected email accounts into structured deals, including deliverables, deadlines, compensation, files and activity.

This Privacy Policy explains what information DealHQ collects, why we collect it, how we use it and the choices you have.

1. Information we collect

Account information

When you create or use a DealHQ account, we may collect information such as:

• your name;

• your email address;

• your profile information;

• your profile picture;

• your account preferences, such as preferred currency; and

• authentication and account identifiers.

If you sign in using a third-party authentication provider, such as Apple, we receive the information that provider makes available to us in accordance with your chosen permissions.

Connected email information

If you choose to connect an email account to DealHQ, you give DealHQ permission to access information from that account so that we can identify and organise emails relating to your brand collaborations.

Depending on the permissions you grant, this may include:

• your email address and mailbox identifiers;

• email sender and recipient information;

• email subject lines;

• email content;

• dates and timestamps;

• email threads;

• attachments; and

• other email metadata.

DealHQ only accesses connected email information for the purpose of providing DealHQ's features to you.

For example, DealHQ may analyse an email from a brand to identify the brand, campaign, agreed compensation, deliverables, deadlines, discount codes, files and other information relevant to a collaboration.

Connecting an email account is optional. However, some of DealHQ's main functionality will not work without access to your email.

Deal and collaboration information

We may create and store structured information derived from emails or information you provide directly, including:

• brands you are working with;

• campaign names;

• compensation and payment information;

• deliverables;

• deadlines and other important dates;

• campaign briefs;

• discount or affiliate codes;

• notes and summaries;

• deal status;

• files and attachments; and

• activity relating to a deal.

Device, diagnostic and usage information

We may collect limited technical information about how DealHQ is used, such as:

• device and operating system information;

• app version;

• crash and error information;

• performance information;

• interactions with features; and

• diagnostic information.

We use this information to operate DealHQ, understand whether features are working correctly and fix problems.

Notifications

If you enable notifications, DealHQ may use notification identifiers associated with your device to send you relevant alerts, such as upcoming deadlines, deal updates, payment reminders or problems with a connected account.

You can disable notifications at any time through your device settings.

2. How we use your information

We use your information to:

• provide and operate DealHQ;

• connect to email accounts that you choose to connect;

• identify emails relating to brand collaborations;

• organise those emails into deals;

• extract and summarise useful information from collaboration emails and attachments;

• show deadlines, deliverables, compensation, files, codes and deal activity;

• keep your deals up to date when new relevant emails arrive;

• notify you about relevant events or issues;

• authenticate and secure your account;

• diagnose crashes, errors and performance problems;

• prevent fraud, abuse and misuse;

• provide support;

• maintain and improve DealHQ; and

• comply with applicable legal obligations.

We do not sell your personal information.

We do not use the contents of your connected email account to advertise to you.

We do not use your connected email data to build, train or improve general-purpose artificial intelligence or machine-learning models.

3. Artificial intelligence

DealHQ uses artificial intelligence to help understand information relating to your brand collaborations.

For example, AI may be used to:

• determine whether an email relates to a brand deal;

• summarise a conversation;

• identify deliverables;

• identify deadlines and important dates;

• identify compensation;

• identify discount codes; and

• organise information into the relevant deal.

To provide these features, relevant portions of email content, attachments or other deal information may be securely sent to third-party AI service providers acting on our behalf.

We only provide information that is reasonably necessary to perform the relevant DealHQ feature.

We do not permit service providers to use connected email information for advertising or to train general-purpose AI models.

4. Google account and Gmail data

If you connect a Google account, DealHQ accesses Google user data only after you grant the requested permissions.

DealHQ's use and transfer of information received from Google APIs will comply with the Google Workspace API User Data and Developer Policy, including its Limited Use requirements.

Google user data is used only to provide or improve DealHQ features that are visible to you.

In particular:

• we do not sell Google user data;

• we do not use Google user data for advertising;

• we do not transfer Google user data to advertising platforms, data brokers or information resellers;

• we do not use Google user data to determine creditworthiness or for lending purposes;

• we do not use Google user data to create, train or improve general-purpose AI or machine-learning models; and

• human access to Google user data is restricted except where you have explicitly requested support involving specific information, where access is necessary for security purposes, where information has been aggregated and anonymised for legitimate internal operations, or where required by law.

You can disconnect your Google account from DealHQ at any time.

You can also manage third-party access to your Google account through your Google Account security settings.

Disconnecting your account prevents DealHQ from accessing new information from that account. Information that DealHQ has already extracted into your deals may remain in your DealHQ account until you delete it or delete your DealHQ account.

5. How we share information

We use trusted service providers to help operate DealHQ.

These may include providers of:

• cloud hosting and databases;

• authentication;

• email integrations;

• artificial intelligence processing;

• app infrastructure and notifications;

• analytics;

• crash reporting and diagnostics; and

• customer support and operational services.

These providers may process information only as necessary to provide services to DealHQ and are required to handle information appropriately.

Our service providers may include companies such as Supabase, Google, Microsoft, OpenAI, Expo, Mixpanel and Sentry, where applicable to the features you use.

We may also disclose information:

• where required by applicable law, regulation or legal process;

• where reasonably necessary to protect DealHQ, our users or others from fraud, abuse or security threats; or

• as part of a merger, acquisition, financing, reorganisation or sale of all or part of DealHQ, subject to applicable data protection requirements.

We do not sell or rent your information to third parties.

6. Legal bases for processing

Where UK data protection law applies, we process personal information under one or more of the following legal bases.

Performance of a contract

We process information where it is necessary to provide DealHQ and the features you request, including maintaining your account, connecting your email account and organising your brand collaborations.

Legitimate interests

We may process limited information where necessary for our legitimate interests, including:

• maintaining the security and reliability of DealHQ;

• diagnosing technical problems;

• preventing misuse; and

• understanding and improving the performance of the service.

We only rely on legitimate interests where those interests are not overridden by your rights and interests.

Consent

Where required, we process information based on your consent.

Where processing is based on consent, you can withdraw that consent at any time. Withdrawal does not affect processing that was lawful before you withdrew your consent.

Legal obligations

We may process information where required to comply with a legal obligation.

7. How long we keep information

We keep personal information only for as long as reasonably necessary for the purposes described in this policy.

In general:

• account information is retained while your DealHQ account remains active;

• deal information is retained so that you can access your collaboration history;

• connected email information is retained only where necessary to provide DealHQ's features;

• authentication credentials and connection tokens are retained while necessary to maintain the connection you requested;

• diagnostic and security records may be retained for a limited period where necessary to maintain and protect the service.

If you disconnect an email account, DealHQ stops accessing new information from that account and removes connection credentials when they are no longer required.

If you delete your DealHQ account, we will delete or anonymise personal information associated with the account unless we are required to retain particular information for legal, security or fraud-prevention purposes.

Some information may remain temporarily in encrypted backups before being automatically removed through our normal backup lifecycle.

8. Deleting your data

You can request deletion of your DealHQ account and associated personal information.

You can do this through Settings → Delete account in the DealHQ app.

Deleting your account will remove your DealHQ account and the personal information associated with it, subject to limited information that we may be legally required or permitted to retain.

Disconnecting an email account is different from deleting your DealHQ account. Disconnecting prevents future access to the email account but does not automatically delete the deals that DealHQ has already created for you.

9. Your data protection rights

Depending on where you live, you may have rights relating to your personal information.

Under UK data protection law, these may include the right to:

• ask for access to your personal information;

• ask us to correct inaccurate information;

• ask us to delete your personal information;

• ask us to restrict how your information is used;

• object to certain processing;

• receive certain information in a portable format; and

• withdraw consent where we rely on consent.

Some of these rights depend on the circumstances and may not apply in every case.

If you are in the United Kingdom, you also have the right to complain to the Information Commissioner's Office if you are unhappy with how we handle your personal information.

10. International data transfers

DealHQ uses technology and service providers that may process information in countries outside the United Kingdom.

Where personal information is transferred internationally, we take appropriate steps intended to ensure that it receives protection consistent with applicable data protection law. This may include relying on adequacy regulations or approved contractual safeguards where appropriate.

11. Security

We use appropriate technical and organisational measures designed to protect personal information against unauthorised access, loss, misuse, alteration or disclosure.

These measures include secure network connections, access controls and restrictions on access to production systems and user information.

No online service can guarantee absolute security. If we become aware of a security incident affecting your information, we will take appropriate action in accordance with applicable law.

12. Third-party services

DealHQ may allow you to connect accounts or access content provided by third-party services.

Your use of those services may also be governed by their own privacy policies and terms. DealHQ is not responsible for the privacy practices of third-party services that operate independently from us.

13. Changes to this Privacy Policy

We may update this Privacy Policy as DealHQ develops or when our legal, technical or operational practices change.

If we make material changes, we will take reasonable steps to let you know, for example through the app or by updating the effective date at the top of this policy.
